Events & groups

Coordinated arrivals and departures for conferences, weddings, roadshows and group travel across California.

Last updated September 9, 2026

Group and event transport is a different job from a single transfer: dozens of arrivals across a day, vehicles staged where they will not block a venue, and one person who knows the whole plan. First Class assigns a dedicated dispatcher to every event from the first pickup to the final drop-off.

We handle conferences and conventions, weddings, corporate offsites, film and production crews, sports teams and delegation visits, in all ten of our California service areas.

When

Rides must be booked at least 4 hours ahead of pickup.

How event transport is planned

Send us a manifest — names, flight numbers or pickup addresses, times, party sizes and hotels — and we build the vehicle plan around it. Arrivals are grouped where passengers land within the same window, so a single SUV or Sprinter covers several guests instead of running half empty. You get the plan back for approval before anything is confirmed.

On the day, your dispatcher monitors every flight and every vehicle in one view, reassigning drivers when a flight slips or a guest misses a connection. One phone number and one email thread cover the whole event.

  • Manifest upload and consolidated vehicle planning
  • One dedicated dispatcher for the whole event
  • Live flight monitoring and on-the-day reassignment
  • On-site coordinator available for larger programmes

Vehicles and capacity

Group work usually mixes classes: sedans for individual VIPs, SUVs for small parties with luggage, and Sprinter vans for up to fourteen passengers. For larger movements we stage multiple vehicles in waves at agreed pickup points so the venue frontage stays clear and guests are not left waiting on a curb.

  • Standard and executive sedans — 1 to 3 passengers
  • SUVs — up to 6 passengers with luggage
  • Sprinter vans — up to 14 passengers
  • Multi-vehicle waves for arrivals and departures at scale

Weddings

Wedding transport is booked hourly so the cars are booked for the whole schedule: the wedding party to the ceremony, guests between venues, and the couple's departure at the end of the night. We hold the schedule in writing, confirm it with the venue coordinator, and brief every driver on the timings and the order of vehicles before the day.

Conferences and conventions

For convention weeks in Anaheim, San Diego, San Francisco, Los Angeles and San Jose, we run shuttles between hotels, the convention centre and evening venues, plus individual transfers for speakers and executives. Arrivals are staged against the exhibition schedule so speakers reach the venue ahead of their session.

Billing and cancellation

Events can be billed to a single corporate account and settled on one invoice, or paid by card per booking. Consolidated billing lists every vehicle, route and hour so the whole programme reconciles against one document. Group bookings follow the standard rules — at least 4 hours' notice, free changes more than 4 hours ahead, partial refund more than 2 hours before pickup and no refund inside 2 hours — with per-event terms agreed in writing for large programmes.

Frequently asked questions

How large a group can you handle?
From a single Sprinter of 14 up to multi-vehicle programmes running hundreds of movements across an event week.
Do we get one point of contact?
Yes. Every event is assigned a dedicated dispatcher who owns the plan from the first pickup to the last drop-off.
Can you work from our guest manifest?
Yes. Send names, flights or addresses, times and party sizes and we return a consolidated vehicle plan for approval.
How is event transport billed?
Either card per booking or consolidated onto one corporate invoice covering every vehicle, route and hour.
Can vehicles wait between movements?
Yes. Event work is normally booked hourly, so the vehicle and driver remain booked for you and waiting time is included.
